Re: Notice of Intent To Conduct An Audit

Further to our recent phone conversation, this is to formally advise you that the Olympic Construction Committee has decided to request an audit of the accounting practices of Jenson Structures Inc. The audit will commence immediately and will be performed on behalf of the OCC by Taylor & Hanson Auditing Services Inc. of Vancouver.

As you know, this audit was prompted by some serious invoice/work order discrepancies that were noted during a number of our transaction-sampling mini-audits that were conducted over the past six months. When briefed on the results of these mini-audits, the OCC decided that an immediate audit of Jenson’s accounting practices and procedures with respect to invoicing was warranted.

The audit will be conducted in full accordance with the OCC’s contract administration and control policy which is an addendum to all of our construction contracts. Among other things, that policy states that “…all outstanding invoices submitted by the company being audited will be held in abeyance until such time as the results of the audit are known.” Also in accordance with the policy, “… depending on the results of the audit, it will be at the Committee’s sole discretion to determine when, and to what degree, any payments will be made to cover any outstanding invoices.”

We look forward to your complete cooperation with the auditors so that the audit can be conducted quickly and concluded as soon as possible.

Мы надеялись получить партию запасных частей к тракторам (заказ № 3829V) к концу прошлой недели. Однако в результате запроса выявилось, что таможенные власти задержали груз, т.к. в документах на ввоз груза не было заверенного должным образом перевода.

Таможенные власти обложили стандартным сбором груз за работу с документами на иностранных языках и направили нам счет как адресату этого груза.

Для ускорения поставки очень запоздавшего заказа мы оплатили по счету, но так как наш контракт заключен на условиях поставки, при которых цена понимается, как включающая таможенные сборы и пошлины, то мы направляем Вам копию счета за перевод для возмещения Вами наших затрат.

Надеемся, что оставшиеся партии не будут задержаны таким же образом.

Dear Sirs,

We had hoped to receive the shipment of tractor spares (Order No. 3829V) by the end of last week. However enquiries revealed that the customs authorities had held up the goods because the import documents were not accompanied by a certified translation.

The customs authorities have imposed their standard fee for processing documents in foreign languages and sent the bill to us as addressee of the goods.

In order to expedite delivery of the much delayed order we have settled the bill but as our contract is based on a duty paid price we are forwarding a copy of the bill for the translation fees to you for reimbursement.

We trust that the outstanding shipments will not suffer a similar delay.

Мы начали заниматься вопросом отгрузки Ваших товаров в Нигерию, как Вы требовали, но мы вынуждены Вам сообщить, что у нас возникла проблема.

Похоже, что недавно были изменены правила по упаковке импортных товаров.

По прибытии в порт назначения нигерийские таможенные власти конфисковали выгруженный груз, т.к. обрешетка была нестандартной. Товары будут выпущены только после их переупаковки и оплаты специальной пошлины на товары, проходящие повторно таможенную очистку.

Учитывая, что Ваши товары должны быть поставлены в строго установленный период, мы начали их переупаковку, но мы должны Вас предупредить о возникших дополнительных расходах.

We have proceeded with the shipment of your goods to Nigeria as requested but regret to inform you that we have encountered a problem.

It would appear that regulations governing the packing of imported goods have recently been modified.

On arrival at the port of entry, local customs officials impounded the disembarked cargo because the crates were non-standard. The goods will be released only if they are repacked and after payment of a special fee imposed for shipments which are resubmitted for clearance.

In view of the fact that your goods must meet a strict delivery deadline we have proceeded with repacking but must warn you of the additional expenses incurred.
